Information on the processing of personal data

Pursuant to EU Regulation 2016/679 on the protection of individuals with regard to the processing of personal data,

In compliance with the obligations set out in EU Regulation 2016/679 (the “Regulation”), we hereby inform you that DEDICATED ITALIA SRL (“Dedicated” or “the Company”), with a registered office in Via della Provvidenza, 63, 35030, Sarmeola di Rubano (PD), Italy, VAT No. IT04902180282 e-mail info@dedicated.world as Data Controller, will process your personal data, which may be collected by us or provided by you or other parties, in the course of providing our services, as well as during email, SMS and MMS exchanges, telephone conversations, and in any other context in which your personal data may be collected or provided.

Any data that you provide voluntarily, or that is otherwise collected during the course of commissioned activities, will be processed in accordance with applicable data protection regulations.
In particular, processing will be based on the principles of fairness, lawfulness and transparency. The data collected will be relevant and complete, and will not exceed what is necessary for the purposes of processing. It will only be collected and recorded for the purposes set out in this Policy.

What data is processed?

Depending on the case, we collect and process one or more of the following types of data:

  • the user’s IP address
  • navigation data relating to the user’s activity on the site;
  • browser and device information;
  • demographic and other information provided by the user without revealing their identity;
  • aggregated information that no longer reveals the user’s specific identity;
  • personal data, tax code, and company role of individuals signing contracts or service mandates.

While some of the above data is not classified as personal data, we believe that it should nevertheless be processed in accordance with appropriate security and confidentiality measures.

What is the purpose of processing your data?

We only process the data we receive to the extent necessary to provide the requested information and estimates for our services. We also process data to fulfil any obligations provided for by the regulations in force, such as invoicing, and to fulfil any other obligations arising from our business relationship with you, both now and in the future.

What is the legal basis for processing your data?

Processing your personal data is necessary in order to communicate with you, fulfil your requests regarding our services and provide these services to you, without prejudice to legal obligations (e.g. tax obligations).

Therefore, processing your personal data is an indispensable condition and your refusal to provide it will prevent us from fulfilling your requests and/or providing the services you are interested in.

How will the data be processed?

Processing the personal data referred to in the above points will be carried out using electronic and computerized tools that guarantee the security and confidentiality of such data.

Where is your data stored?

  • All your personal identification data is stored in password-protected files on the Google Drive cloud storage system. A copy of these files is also stored on reserved OneDrive cloud storage.
  • All data required for tax compliance is stored on management software located on password-protected cloud servers.
  • Documents containing processed data (usually in PDF format, but in other formats if required) are stored in secure cloud storage.
  • All emails containing processed data exchanged via the Microsoft Office 365 service are stored on Microsoft mail servers.

THE DATA CENTRES WE USE HAVE ISO 9001, ISO 14000 AND ISO 27000 CERTIFICATIONS.

To whom do we communicate your data?

The company may only communicate your personal data for the purposes indicated and, where necessary, to the following categories of parties:

  • Service providers, such as the Seeweb data centre, digital registrar, data traffic VAN and data carrier.
  • To the competent judicial authorities, where required;
  • Public administrations and supervisory and control authorities, where required.

However, personal data will not be disclosed to unspecified parties.

How long do we keep your data for?

In accordance with relevant legislation, we will only retain your data for as long as is necessary to fulfil the purposes for which it was collected. The criteria used to determine the data retention period take into account permitted processing periods, applicable tax and prescription regulations, and legitimate interests. These form the legal basis for processing.

Subsequently, the data will be deleted, aggregated, or anonymised.

What are your rights?

The Regulation gives you certain rights, including the right to request information from the data controller.

You have the right to:

  • receive confirmation as to whether your personal data is being processed, and if it is, to access it (right of access);
  • request the correction of inaccurate personal data or the completion of incomplete personal data.
  • request the deletion of your personal data if one of the reasons set out in Article 17 of the Regulation applies;
  • request that the processing of your personal data be limited if one of the reasons set out in Article 18 applies;
  • receive the personal data you have provided in a structured, commonly used, machine-readable format and transmit it to another controller.

In accordance with the Regulations, the company is not authorized to charge a fee for complying with any of the requests set out in this paragraph unless they are manifestly unfounded or excessive, particularly if repetitive. If you request more than one copy of your personal data, or if your requests are excessive or unfounded, the Company may: (i) charge a reasonable fee to cover the administrative costs of processing the request; or (ii) refuse to comply with the request. In such cases, the company will inform you of the costs before processing the request.

Before processing requests, the company may request additional information to verify the identity of the person who submitted them.

Users have the right to lodge a complaint with a data protection authority if they believe that their personal data is being processed in violation of the General Data Protection Regulation. This is without prejudice to any other administrative or jurisdictional recourse. Further information is available at http://www.garanteprivacy.it (for Italy only).

In any case, the company would like to be informed of any complaints, and invites you to use the above contact channels before taking the matter to the supervisory authority. This will allow any disputes to be prevented and resolved amicably, promptly, and courteously, while ensuring that they are treated with the utmost seriousness and discretion.

Guarantees

In accordance with current legislation, we guarantee the following:

  • not to store data for longer than the periods indicated herein;
  • not to store or process sensitive customer data, even if we become aware of it while performing our duties;
  • not to give third parties access to the data, except in the cases indicated in this document;
  • to use email solely for business communications of a commercial nature, such as communicating this policy and any updates to it.
